1. Establishing the group of "experts" that will work with you to resolve data questions in your area.....
Since the Executive Sponsors left the appointment of sub-groups somewhat undefined, it is also open to interpretation. We have called the group of people you work with "data administrators", but this language may be confusing. I have seen the same people referred to in articles as "experts", and this might be a better way to think about it.
Questions regarding others that you need to accomplish data governance…… Are you considering how users have an opportunity to be part of the process? Should you establish user groups to provide feedback to you about data. If you already have user groups, should they have a designated agenda item to cover data issues when they meet?
2. Anticipating data needs of our senior administrators. We may be hosting senior administrators who attend our meetings to explain to us what they anticipate their data needs to be. This will let you have an opportunity to begin thinking about them in advance, and if there are any problems that you see (example , we don't collect that information, and if it is going to be critical to know it, we will need to make some changes in what we do) then you can discuss that will them. I want to talk with you about conversations that have taken place so far and hear your views.
3. Are there new data issues in your area that need to be active in the data governance process?
Issues from Lynne’s original survey are not yet in progress. Is as you intended?
4. Creation of a data dictionary for UNLV -- What are your needs are for a data dictionary, how you see your role in creating and building it, and to talk with you about how best to proceed. What resources do already have that can be included in an overall plan? A committee will be working to gather requirements over the next few months..
5. The next level in establishing responsibility for data elements….. We are ready to begin designating responsibility more specifically. Once established, the designations will guide a lot of other data governance work, such as which elements each of you will handle in the data dictionary, which elements you will work on to comply with the security policies. It will also highlight places where there is overlap.
6. How to include data management in all application training -- This was on the agenda for the Executive Sponsors last spring, and was handed to you.
Goal --Teach data management principles at every opportunity
A. Include in all training programs an understanding of the data as well as the processes
Example, show system users
1. A clear definition of the data
2. Provide help information so that if an data item needs to be clarified, the user knows how to find that information
3. Show what all the allowed values for an element are, and what each value represents
B. Apply this to the new ERP, and also to existing system training that it is done
1. Examples of current , Datanet, WebContracts, Financial data warehouse, Focus and others
C. . Include both data entry personnel, and supervisors, in training efforts
1. Data entry staff have to be able to ask questions internally
2. Supervisors have a broader perspective - other questions may be raised
