Data Governance Council Meeting

Wednesday, April 9, 10:00am – 11:00am

Present: Norm Bedford, Lynne Personius, Johnny Sullivan, Elora Paik, Christina Drum, Monty Young, Joi Taylor, Geetha Sendhil, Karen Emptage, Lori Harris, Tim Locket, Kivanc Oner, David Ellison

1. Data Governance Priorities for Next Year
Lynne - recommendations for the priority for the following Data Governance Council activities:
                        1. Data standards, and "best practices"
2. Data dictionary -- how to document our data elements in the most efficient and useful manner
                        3. NSHE Common Data Elements  -- who will be responsible for each
                        4. Data security implementation  - next steps
                        5. Data integrity -- documenting business processes

Karen – iNtegrate will be a big impact. The DG Council should be ready to monitor and document decisions made regarding security.  Registrar Office’s “scribes”, those that will be highly involved in the implementation of INtegrate, should be involved in DG Council at some capacity.

            Christina – Data practices and standards should guide the rest

Monty – DG Council should have access to the systems iNtegrate vendors are looking at and the mechanics of bridging gaps with other relevant systems. The PPSC can help get new policies out to the public.
           
Group concluded that iNtegrate would “cut through” most of these priorities and that further setting of priorities should first receive some guidance from Executive Sponsors.

2. Review of Outstanding Projects
Karen – Non-State Supported / State Supported Flag
CLFG screen in SIS will contain a state supported flag.  A “blank” would mean, “is state supported”.  An “n” would mean “is not state supported”. 

Question#1: Who determines what is or is not state supported?  The group thought Richard Lee and Dawn Neuman were responsible. Monty will follow up.

Elora – Web Contract – Problem collecting some tenure data
This has been made a high priority on SCS list.  However, with iNtegrate it is unlikely that much attention will be given to this issue.  She also mentioned that some of HR’s projects will become “null” with the implementation of Cognose. 

 

David – Exemption and Deal Codes
Issue is that students may qualify for more than one exemption code and in the current system additional codes have to be manually entered. 

Question #2: Who enters deal codes?
           
3. iNtegrate Status
BoR has accepted bids from Oracle/PeopleSoft software & Cedar Crestone
            - UNLV will be one of two Pilot schools
            - There will be a common student ID for all Nevada institutions
Norm – Encouraged all DG Council members to do everything possible to support the implementations of iNtegrate
Elora – There should be clear communication about the changes in positions and/or responsibilities for those that will be involved with iNtegrate

4. Other Items
            Karen Emptage’s last day is April 30
