1. Presentation - NSHE Data Dictionary Update - Paul Landrum
Paul distributed the charter for the NSHE data dictionary design process. The project will establish a data dictionary with all data elements common across NSHE, define processes for managing the dictionary and for maintaining the accuracy and integrity of the data. This project is in preparation for establishing common data elements for the iNtegrate project.
Paul explained that he is putting together a data dictionary for the NSHE data warehouse. He began work with a list of data elements that had been compiled before his hire. He then analyzed all of the reports that NSHE produces – if an element did not appear on a report, it was eliminated. The result is about 450 fields. These are now in process of being reviewed. The goal is to have one set of elements when we move to iNtegrate.
Paul said that he wants us to be in the position to tell stories with our data, and by doing so, justify our budget requests. We will have a culture of evidence to assist the state in making decisions.
2. Discussion of the SIS Data Cleanup Initiative - Karen Emptage
Karen distributed the project charter for the SIS data cleanup, written by Ginger Holladay-Houston. The goal of this project is to clean all data in the current SIS that might be converted during the iNtegrate project. She also handed out documents that listed which table types would be included. A decision has been made to clean up codes, people, and curriculum tables. The first reports have arrived this week. Karen is coordinating Admissions, Financial Aid, Student Accounts, and Records at UNLV. She told us that 325 code tables, 182 people tables and 22 curriculum table resulted in 500 million records. The question that follows is how much data to clean up. Records recommends doing all of it, other units have differing needs.
April is the proposed completion date for this effort. Please send any questions or comments that you may have to Karen. Don explained that in the SWAMI data, which comes as a result of a series of SCS scripts that populate many operational data stores, there are a lot of duplicate records. Wendy will send some examples to Karen for review.
3. Presentation - OIT Security Policy - "Risk Assessment and Management." - Johnie Sullivan
Johnie distributed the IST Policy 402: Risk Assessment and Management and the OIT security Policy home page.
He explained that risk assessment includes broadly defined components, including computer systems and information sets. Step one is to identify them, then assess how critical each one is. There is a template available on the web site that can be downloaded to help make the assessment process as easy as possible.
The data dictionary is an important tool in doing this.
We discussed the next steps toward implementing these policies so as to protect our data resources. We will continue this discussion after the new year.
4. Data Stewards were asked to review the latest version of the data management project list to make sure everything listed is where they expect it to be. In the last month, three projects have been resolved – one owned by Karen Emptage, and two owned by Gwen Pons.
