SIS Data Clean Up Project Status - January 7, 2008
Where we started
The first meeting of the SIS Data Clean Up group was held on November 16, 2007. With this date as a project start date, the planned end date for the project is April 30, 2008.
Each institution assigned a representative to the group. Weekly meetings are scheduled through April 2008. Some institutions are sending just their representatives to the meetings and others are including their functional specialists.
Where we are
It was decided by the SIS Data Clean Up group that data in SIS identified as ‘people’ data and ‘code’ data will be considered for clean up with the first priority being ‘people’ data. SCS provided a draft list of candidate tables with record counts. The group still needs to validate that these are the appropriate tables.
Three institutions (CSN, TMCC and WNC) have indicated that they want to limit data clean up, where possible, to students who have enrolled at their respective institution within the last 10 years. All other institutions will attempt to clean records for all students.
There seems to be various levels of participation in the project. While most institutions have formed committees to work on this, others have not. We recognize that end of term processing has taken precedence and we also acknowledge the various campus closures and limited staff availability due to the holidays.
It is also recognized that until a vendor for a new student system has been selected, data clean up efforts cannot be directed to a specific application.
The attachment details the SIS Data Clean Up reports that SCS has written, run and sent so far for each institution and the progress that has been made to date.
Summary is that a total of 38 reports have been sent to date, and others could be produced. Of those, 13 were considered Not Applicable to UNLV.That leave 25 that need attention from us. 7 are now marked as completed, 7 have problems that may need resolution, and 16 are still in the queue.
Where we go from here
SCS continues to encourage input on reports to write that might assist the institutions in their data clean up efforts. SCS will work through the list of reports that we have based on SCS suggestions and limited campus input.
SCS will need more direction from the SIS Data Clean Up group to accomplish more detailed data clean up. We would like to perform more detailed analysis of specific field values based on comparisons with other fields but we need to get the individual fields cleaned up before that analysis can be considered.
